This Privacy Policy and Terms of Service (“Policy”) applies to the applications and services operated by BALKAN AI (“BalkanAI”, “we”, “us”, or “our”). It currently covers our two applications:

• Reputation Manager — a tool that helps businesses read, analyse and respond to customer reviews across their online profiles.
• Social Manager — a tool that helps businesses manage and publish content to their connected social media accounts.

By using either application you agree to the terms described below. If you do not agree, please do not use our services.

1. Who We Are

BALKAN AI provides AI-assisted business tools. Our services are intended for business owners and their authorised team members. Access to each business’s data is granted and managed by the business’s administrator.

2. Information We Collect

We collect only the information needed to provide our services:

• Account information — your name and email address, obtained when you sign in (for example, through Google Sign-In).
• Connected account data — depending on the application, this may include your business profile information, customer reviews, social media posts, and related metrics that you authorise us to access.
• Usage information — basic technical data such as log entries needed to operate, secure, and improve the services.

3. How We Use Information

We use the information we collect to:

• Provide the core functionality of each application, including reading reviews, generating AI-assisted replies, and managing social content.
• Authenticate users and protect access to business data.
• Maintain, secure, and improve our services.

We do not sell your personal information, and we do not use your business data to advertise to you or to third parties.

4. AI Processing

Our applications use artificial intelligence to analyse content and generate suggested responses. Content you submit may be processed by trusted third-party AI providers solely to produce these results. Generated suggestions are provided for your review; you remain responsible for any content you choose to publish.

5. Sharing of Information

We share information only as needed to operate our services — for example, with the platform providers whose accounts you connect (such as your business profile or social media platforms) and with infrastructure and AI providers acting on our behalf. We may also disclose information where required by law.

6. Data Retention & Security

We retain information for as long as your account is active or as needed to provide the services. You may request deletion of your account data by contacting us. We apply reasonable technical and organisational measures to protect your information, though no method of transmission or storage is completely secure.

7. Your Rights

You may request access to, correction of, or deletion of your personal information. You may also disconnect any linked account at any time, which stops further data access from that account.

8. Third-Party Platforms

When you connect a third-party account (such as Google Business Profile or a social media platform), your use of that platform remains subject to that platform’s own terms and privacy policies. We access such accounts only with your authorisation and only to provide the requested functionality.

9. Changes to This Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above. Continued use of our services after any change constitutes acceptance of the updated Policy.
